職場

今天來談談商業email上常見的幾個錯誤,這些錯誤是比較「高級」的錯誤,程度不錯的學生,也許也會犯。因為句子唸起來無違和感,而且同事之間抄來抄去也都這麼寫,久而久之潛意識也就接受了。來看看自己有沒有寫錯: 1. 請看以下的資訊。 (X)Please see below information (O)Please see the information below. Below這個字是〚be+low〛,顧名思義,是”在什麼之下”,它只能夠當介系詞和副詞,不能當形容詞,既然不能當形容詞,就不能用來修飾information,必須放在名詞後面當副詞才對。 和below相對的字是above,above可以當形容詞,也可以當副詞: (O)Please send the articles to the address given above. 請把文章寄到上述位址。above是副詞 (O)The email was sent to the above address. 郵件已寄至上述位址。(above是形容詞) 2. 如果有任何疑問,請直接找我。 (X)If you have any questions, please find me directly. (O)If you have any questions, please come to me directly. 這裡的「找」並非「找到」或「尋找」的找,所以既不是find,也不是look for。就像我們對外國朋友說,到台灣時來找我,英文怎麼說: (X)Find me next time when you are here. (X)Look for me next time when you are here. (O)Come and see me next time when you are here. 3. 星期一方便嗎? (不自然)Is Monday ok for you? (自然)Is Monday ok with you? 我們發現,如果是老外,問你可不可以約個時間,多半會說”If it’s ok with you...",但老中就會說”If it’s ok for you…",真要追究,用with比較好。為什麼呢? OK for you = good for you 對某人有好處 With沒有那麼直接,代表一種agree with,同意某件事,而不是指那件事對我有好處。 4. 如果有任何需要我幫忙的,請讓我知道。 (X)If there is anything needs my help, please let me know. (△)If there's anything I can do to help, please let me know. (O)Please let me know if you have any further questions. 前面這句話直譯,文法有錯。估計這樣寫的人,是不想直接說if you need my help這樣直白表達,繞著表達,句子長一點,就變成"If there's anything I can do to help….",這樣講很正式,且有距離感,直接請人家有問題就可提出,其實也就表示願意幫忙了。 三個月英文脫胎換骨的一對一:https:goo.glcP12GQ ...

Email人人會寫,但卻不是人人都懂得寫email的竅門。 最近職場女性社區網站DailyMuse網站刊登了一篇報導,指出了商業email中最常見的錯誤,有些錯誤甚至你都不知道自己正在犯。 忌諱1:Laid- back 懶散、隨意;想想把背靠在椅背上,閒散那個樣子,就是laid-back Case 1: “btw, need u 2 sign tom. thx.”(順便說一下,明天需要你簽個名。) Being too casual in an email may lead the receiver to think A you are unprofessional and not taking the conversation seriously, B too busy to address their needs, or C they may have no idea what the heck you are talking about in the first place. Business should always be handled with care and this can be done by taking the time for proper communication regardless of how laid-back the environment is. (寫email用字太隨意會造成以下印象:1、你不夠專業或者沒有認真對待此次談話;2、你太忙,沒有時間說清楚自己的要求;3、別人不知道你到底想幹什麼。所有商業活動都需要認真對待,不管身處什麼環境,都要花時間來進行恰當的交流。) 忌諱2:!!! 充滿了驚歎號 Case 2:“It was a pleasure meeting you yesterday!! Looking forward to our next encounter! Take care!”(昨天見到你很高興!!期待下次再見!保重!) Exclamation points are sometimes 100% necessary in business emails to express enthusiasm and even good manners, but overusing this punctuation takes on a whole new and unwanted meaning. With one too many exclamation points, your positive attitude turns…. quite weird and unwelcoming. (在商業書信中,有時使用驚嘆號是必要的,可以傳達出熱烈的情感和良好的禮儀。不過,過分使用標點符號就會適得其反了。就像上面提到的這句話一樣,濫用驚嘆號來表達積極情感反而會讓人覺得詭異和不受歡迎。) 忌諱3:Oversimplified 主旨過度簡化 Case 3: Subject: Meeting(主題:開會) First, imagine how many emails professionals receive a day. Now, imagine how many emails professionals receive a day including the word “meeting.” Subject lines are the filtering mechanism and the best way to help the recipient distinguish the reason behind your email. Don’t be vague in your subject lines. It is your job to summarize the body of you email. 經常聽到學生說,希望英文Email可以寫得更「精準」。但哪裡不精準,要如何才叫精準,也說不上來。這裡給大家幾個方向。 1. 給事實,不要用籠統的概念 要精確,最好能夠給事實。就像如果你說,今天很熱,聽到的人其實不知道多熱。但你說今天高溫39度,那就到底有多熱也就清楚了。比較這兩句: (感覺)Mark’s work is bad. Mark的報告很糟。 (事實)Mark’s reports contain statistical and factual errors. Mark的報告有數字錯誤,也有和事實出入之處。 一般我們最熟悉的字good/bad/soon/many就是造成訊息模糊的元凶。調整最好的方法,就是給具體事實。 many→ 1,000 or 500 to 1,000 early → 5 a.m. most → 92.9 percent others → business partners very rich → a millionaire soon → 7 p.m., Tuesday Good job →You’ve worked for a long time 2. 代名詞濫用,會造成誤解 代名詞的使用不恰當,很多母語人士也可能犯這樣的錯。來看例句: (不準)Bill would like those delivered to Jake ASAP. He needs to make a decision right away. Bill希望這些能趕快遞送給Jake。他必須立即做決定。 這裡的he是Bill還是Jake,這句話就讓人搞不清楚,誰要做決定。 (準)Bill would like those delivered to Jake ASAP. Jake needs to make a decision right away. 3. Write like you speak:怎麼說就怎麼寫 這是商業書信的通則:怎麼說就怎麼寫。我們平常講話不用attached please find/per our conversation這一類用字,信件裡也別用了,講白話文給人親切感,感覺活在當代。 (拗口)Please be advised that the conference will end at 4:00 instead of 3:30. 在發出詢問信後,通常都會針對相關內容進行追蹤,以確保事情後續發展是否符合公司需求,而大部分人都會撰寫追蹤信來掌握後續發展的訊息。追蹤信的內容一般都會緊扣詢問信的主題,因此信件會較簡化。本文將介紹如何撰寫追蹤信,也會同時介紹一些多益職場英文單字! 追蹤信範例: From: jason.gavin@sanso.comTo: s.arthur@sunshinehotels.co.twDate: January 12Subject: Sanso event on May 4†Dear Sarah,Can you help me? ‚Would you mind arranging a visit for my manager, Dana Smith, to see your conference facilities at the hotel? She wants to see what they are like. ƒWould you be able to arrange this for next week?Secondly, „could you arrange a gift for each guest at the event? …Are you able to do this for less than $100 per guest?If that is ok, then could you send a new offer with the total price?Many thanks for your help.†Best wishes,JasonPS. I can’t open the pictures of the conference rooms you sent. ‡Please advise. 這封追蹤信用了許多提出請求的用語,請注意雖然信件大多用問句,但並不是真的在詢問,而是提出請求: 委婉提出請求的5個英文問句 一、CouldCan you help me?通常寫追蹤信的對象已經有一定的認識,因此信件開頭可以省去打招呼的過程,直接進入主題,如範例中一開始就直接請求對方幫忙。一般來說,請求對方幫忙可以用「can」或「could」,但前者用法較口語,而後者較為正式。 二、Would you mind...這句的用法較為委婉有禮,記得後面要加上「V-ing」。「Would you mind…」意思為「你介意…」,這屬於委婉請求可否做某事的語句,而不是真的詢問是否介意。而與「Would you mind」相似的請求語句是「Would you mind if I...」,意思是「你介意我…」,其用法有兩種,說明如下。 動作者為說話者:Would you mind if I turn on the light?(我可以開燈嗎?)要去開燈的人是說話者自己,因此後面的主詞用「I」。 動作者為對方:Would you mind turning on the light?(你可以幫忙開燈嗎?)說話者希望對方去開燈。 三、Would you be able to...此句同樣是委婉要求某人去做某事的表達語,只是換成「能夠、有辦法」的語氣。請注意「be able to」需接原型動詞,因此例文中「arrange」改用原型,而非動名詞。 四、Could you... 同樣是比較委婉的要求問句,也可以改成「Can you...」,只是語氣稍微差異。 五、Are you able to…屬於比較直接的要求問句。 職場英文書信常用的開頭與結尾敬語:DearBest wishes 如果彼此已經認識,開頭可以直呼對方的名字,無需加上尊稱,結尾招呼用語「best wishes」則多用在已經認識的朋友間,而「sincerely yours」則較有禮。通常可以藉由彼此使用的詞語判斷關係。 看似客套話,但需要小心使用:Please advise...
